REMINDER: TRAX June/Final Submission of Grades due by July 9, 2021
Schools should start reporting final June grades as soon as they are available to ensure completion of their final TRAX Data Upload on the School Secure Web (SSW)https://www.bced.gov.bc.ca/exams/tsw/princ_terms.jsp by July 9, 2021. Accurate and timely data transmissions are needed to produce students' final year-end transcripts, graduation certificates or school completion certificates. Final transcripts will be sent to students' post-secondary institution (PSI) selectionshttps://www2.gov.bc.ca/gov/content/education-training/k-12/support/transcripts-and-certificates/post-secondary-selection by July 31.
Early submission of TRAX files also enables the Ministry to manage the high volumes of incoming data.
What Should be Included with this TRAX Submission
- Final marks for all completed Grade 10, 11 and 12 courses
- Updated student address information for Grade 12 and adult students for scholarships purposes
- A SCCP completion date in YYYYMMDD format for students whose Primary Program of Study is recorded as "SCCP" for the School Completion Certificate Program (reminder: this is not a graduation program)
If necessary, you may continue to resubmit TRAX files to correct any errors up until July 9, 2021.
Reminder: Changing or adding school percentages for any past provincially examinable courses or for students who have left the school system (i.e. former students) must be done manually. Email a completed TRAX Change Form (available on the SSWhttps://www.bced.gov.bc.ca/exams/tsw/princ_terms.jsp at the Graduation Assessment Materials and Forms link) to Trax.Data@gov.bc.camailto:Trax.Data@gov.bc.ca.
How to Upload TRAX Data and Confirm Receipt
- TRAX data submission instructions are on the Electronic Transfer Procedureshttps://www2.gov.bc.ca/gov/content/education-training/k-12/administration/program-management/assessment/graduation/trax-updates/electronic-transfer webpage
- Always submit sets of three files: DEM, CRS and XAM
- Received files will usually be processed within 1 to 3 hours during regular business hours. Files submitted after hours may be delayed due to nightly website updates
- To confirm your TRAX submission has been processed, you must log on to the SSWhttps://www.bced.gov.bc.ca/exams/tsw/princ_terms.jsp, go to the TRAX Data Error and Non-Grad Reports link and check that a new TRAX Data ERROR Report and a TRAX Data Transfer NON-GRAD Report have been posted
- Resubmit your TRAX files until the errors in the "TRAX Data Error and Non-Grad Reports" are reconciled (a TRAX Data Error Legendhttps://www2.gov.bc.ca/gov/content/education-training/k-12/administration/program-management/assessment/graduation/trax-updates is available for reference)
Where to Review Student Records in Advance of Final Transcripts
- Transcript Verification Reports (TVRs) will be updated overnight each day up until July 16, 2021. This allows schools to confirm that final marks for individual Grade 12 and adult students have been submitted as expected
